Restaurant & hospitality groups
From the back door to Xero, the same day.
Finio is accounts payable software for UK restaurant and hospitality groups on Xero. The delivery note is photographed at the back door, every invoice line is coded to the right account, and credit notes, supplier statements and charges between sites are handled through to month-end.
The kitchen side of AP
Six things true in almost every restaurant group.
Deliveries at every site, every day
The same suppliers deliver to every kitchen, and whoever signs for it is mid-prep, not at a desk. The paperwork happens when there is time, which is usually never.
Delivery notes that stay in the kitchen
The note gets signed and goes in a drawer. The invoice reaches the office weeks later with nothing to check it against, so it is approved on trust.
One invoice, four accounts
A single delivery carries food stock, consumables, cleaning supplies and a pack of blue roll. Coded at the header, all of it lands in one account and GP stops meaning anything.
Short deliveries and rejected stock
Crates go back at the door, the invoice is already out, and the credit note turns up days later — if anyone chases it. Unchased, it is a cost nobody sees on a report.
Prices that drift from the list
A price agreed with the supplier and the price on the line months later are rarely compared, because comparing them means opening both.
Every restaurant its own company
Each site often runs as its own company with its own Xero, so four cases sent from one kitchen to another is an intercompany charge that surfaces at month-end.
How Finio handles it
Each one, closed where it starts.
Photographed at the back door
Whoever takes the delivery photographs the note. Finio reads thermal paper, handwriting and crumpled notes — no Xero licence and no training, just an email and a password.
Read more →Every line coded, with the reason
Food stock, consumables and cleaning supplies each go to the right nominal code, and every code carries the reason it was chosen. Nobody maps a supplier first.
Read more →Credits chased on the day
A short delivery or a rejected crate is tracked from the moment it happens, so the credit note is chased while it is still worth chasing.
Read more →GP per site, while the month runs
Every coded line feeds each site's spend by day, week, supplier and category. Site managers enter their sales and watch GP move, instead of waiting for week three.
Read more →Supplier statements reconciled
Each statement is matched line by line against Xero — missing invoices, duplicates and unapplied credits listed — and suppliers who never sent one are chased.
Read more →Stock moved between restaurants
Raised the minute it moves, approved by both sites and by finance, and posted into both companies' Xero files — not reconstructed at month-end.
Read more →Sales and bookings read straight from Square, Zettle, Lightspeed, EPOS Now and SevenRooms are coming, not live — until then, site managers enter their sales. See the software partners page for what connects today.
Who built it
Built inside a restaurant group's month-end.
Finio was built by a management accountant who runs the month-end close for a multi-site Michelin-starred restaurant group in London — the supplier statements, the chef invoices that arrive as photos, the recharges between sites — after six months working in a Michelin-starred restaurant before moving into finance. Finio comes from someone who has signed for the delivery as well as reconciled it.
That is why the site team’s part is one photograph and nothing else, and why the finance side goes past posting the bill into the statements, credits and cross-charges that actually fill the first week of the month. Read the story →
Questions
Asked before the call.
Does Finio work for restaurant groups?
Yes — it was built inside one. Finio is accounts payable software for UK restaurant and hospitality groups on Xero: delivery notes photographed on site, every invoice line coded, credit notes chased, supplier statements reconciled and charges between restaurants posted to both companies' Xero files.
Can Finio read handwritten or crumpled delivery notes?
Yes. Finio reads delivery notes photographed on site, including thermal paper, handwriting and crumpled notes.
Do kitchen and site staff need a Xero licence?
No. Site staff sign in with an email and a password — no Xero licence and no training — and users are unlimited, so putting every site on it costs nothing extra.
Can Finio track GP for each restaurant?
Yes. Every coded invoice line feeds each site's spend by day, week, supplier and category, and site managers enter their sales to see gross profit move while the month is still running. Reading sales straight from the till is coming and is not live yet.
How does Finio handle stock moved between restaurants?
If each restaurant is its own company, the move is raised as a cross-charge the minute it happens, approved by both sites and by finance, and posted into both companies' Xero files. Inside one company, it is a departmental transfer, accepted by the receiving side before it is charged.
