Terms of service
The agreement that governs your use of Finio.
The end-user licence agreement between your organisation and us. It covers what Finio is, what it may do with your data, what it will never do without an approval from your side, and where the limits of each of us sit.

1. Who this agreement is between
This end-user licence agreement and terms of service (the "Agreement") is between KRBUK Limited, trading as Finio (company number 16247154, registered office 2 Paul Street, London, E15 4QD, England) ("Finio", "we", "us") and the organisation that opens a Finio account (the "Customer", "you"). Anyone you invite into your Finio account is an "Authorised User" and uses Finio under this Agreement on your behalf. By creating an account, connecting an accounting system, or using Finio, you accept this Agreement.
2. What Finio is
Finio is a web-based financial operations service. It receives supplier invoices, credit notes and supplier statements by email or upload; reads them; checks and categorises them; routes them for approval; and, once a finance user approves, posts the results to the accounting system you have connected (Xero, QuickBooks Online or Sage Business Cloud Accounting) as bills, credit notes and journals, with the source document attached. Finio also reads reference data and ledger history from that accounting system to do this work.
3. Licence
We grant you a non-exclusive, non-transferable right to access and use Finio for your organisation's internal business purposes during your subscription. You may not resell Finio, use it to provide a service to third parties (except accountancy practices acting for their own clients under a practice plan), reverse-engineer it, or use it to build a competing product.
4. Your account and Authorised Users
You are responsible for keeping login credentials secure, for every action taken from your account, and for ensuring Authorised Users comply with this Agreement. Finance-side and administrator users must enable multi-factor authentication when Finio requires it. Tell us promptly at info@getfinio.co.uk if you believe an account has been compromised.
5. Connected accounting systems
When you connect Xero, QuickBooks Online or Sage to Finio you authorise Finio to read from and write to that system on your behalf, within the permissions you grant during the connection. You can disconnect at any time from the Integrations page; disconnecting revokes Finio's access and stops all reads and writes. Finio does not post to your accounting system without an approval action by one of your finance users, other than scheduled journals you have set up yourself (for example depreciation or prepayment releases). Your use of those systems remains subject to their own terms.
6. Your data
You own the data you put into Finio and the data Finio reads from your connected systems. We process it only to provide the service, keep it secure, support you and meet our legal obligations, as described in our Privacy Policy. Records in Finio are soft-deleted rather than destroyed in place, so the audit trail stays complete; on termination we delete or return your data on request, subject to any retention the law requires. You are responsible for the accuracy of the documents you send us and for reviewing what Finio proposes before you approve it.
7. Automated reading and its limits
Finio uses machine reading, including AI models, to extract text from documents and to suggest categorisation. These suggestions are aids to your finance team, not accounting advice; Finio is not an accountant, auditor or tax adviser. Every posting to your accounting system rests on an approval by your Authorised User, and you remain responsible for the accuracy of your books and returns.
8. Fees and billing
Fees are as set out in your order form or on our pricing page at the time of purchase. Subscriptions renew automatically for the same period unless cancelled before renewal. Invoices are payable within 14 days of issue. We may suspend access if fees are more than 30 days overdue, after giving you notice.
9. Availability and support
We aim to keep Finio available at all times but do not guarantee uninterrupted service, and we give notice of planned maintenance where practical. Support is by email at info@getfinio.co.uk during UK business hours unless your order form says otherwise.
10. Acceptable use
You must not use Finio to process documents you have no right to process, to attempt to reach another customer's data, to probe or overload our systems, or in breach of any law. We may suspend an account immediately where necessary to protect the service or other customers, and will tell you why.
11. Intellectual property
Finio, its software, models, designs and documentation are owned by us or our licensors. Nothing in this Agreement transfers them to you. Patterns Finio learns from your data are used only for your own account.
12. Confidentiality and security
Each party keeps the other's confidential information confidential and uses it only for this Agreement. We protect your data with the measures described in our Privacy Policy, including encryption in transit and at rest, per-customer data isolation, and a complete audit log of changes.
13. Termination
Either party may end this Agreement at the end of the current subscription period by giving notice before renewal. Either party may end it immediately for a material breach not fixed within 30 days of notice, or on the other's insolvency. On termination your access ends, connected accounting systems are disconnected, and clause 6 applies to your data.
14. Liability
Nothing in this Agreement limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law. Subject to that, neither party is liable for indirect or consequential loss or loss of profit, and our total liability under this Agreement in any 12-month period is limited to the fees you paid us in that period.
15. Changes to this Agreement
We may update this Agreement. We give at least 30 days' notice of material changes by email or in the product; continuing to use Finio after a change takes effect means you accept it. The current version is always published at this address.
16. General
This Agreement is governed by the laws of England and Wales, whose courts have exclusive jurisdiction. It is the whole agreement between us about Finio and replaces any earlier terms. Notices to us go to info@getfinio.co.uk.
